Managing Business Documents
A business document is a HOPEX object created from a file uploaded to HOPEX. The business document is independent of the initial file.
The business document is attached to an object, it is based on a model and category.
Creating Business Documents
*Creation of business documents can vary depending on the solution used. Refer to the corresponding documentation.
To create a business document from the HOPEX Web Front-End Enterprise Architecture desktop:
1. Open the properties dialog box of the object concerned.
2. Click General > Documents.
3. In the Owned Business Documents section, click New.
The business document creation window opens.
4. Indicate the business document Name.
5. In the File Location field, click then select the file.
6. Specify the Document Pattern.

7. Click Finish.
The business document is connected to the object and stored by the HOPEX application.
Managing Business Document Content
On creation of a business document, a business document version is created automatically. A business document therefore comprises at least two objects:
a business document
a business document version
*The business document version name is calculated from the business document name.
If document content evolves, following a new regulation for example, you must create a new version of your business document and download the new updated file in HOPEX.
To modify the business document, HOPEX offers two possibilities:
Update business document: replaces the old version
*This feature should be used when:
you want to carry out minor corrections.
you are debugging the business document.
Create new business document version: keeps the old version and creates a new version
*This functionality should be used when business document content evolves and you want to keep the different versions.
Updating business documents 
To update a business document:
1. (optional) Open the business document and save it locally to make your modifications in the local copy.
*You can open a business document to consult its content, but you cannot modify it directly in HOPEX.
2. In HOPEX, right-click the business document and select Update.
*You can also update the current version of the business document from the business document properties (Version history tab > Update current version).
3. In the dialog box that appears, select the modified document and click OK.
The current version of the business document is updated in the repository.
*Updating a business document does not create a new version. See Managing business document versions.
Managing business document versions 
*The version of a document enables access and referencing of the different valid versions of the same document. For example, legal regulations evolve from one year to another. Note: a business document version is a business document.
To create a new business document version:
1. Right-click the business document and select New Version.
2. Select the file in the desired location and click OK.
A new business document version is created. The modified document is uploaded to this new version.
The document version number is incremented.
*The old business document version is kept.
To access business document history:
1. Open the properties dialog box of the business document.
2. Click Version History.
*This tab is available only if your profile authorizes you to create document versions.
Referencing Business Documents
A business document is attached to an object but can be referenced by another object. For example, a business document created for an org-unit can be connected to organizational processes for which the org-unit is responsible.
To reference a document in an object (EA desktop):
1. Open the properties of the object that interests you.
2. Click General > References.
3. In the External Reference section, click New.
The search window appears.
4. Click Find .
You obtain a list of all business documents accessible with your profile.
5. Select the org-unit that interests you and click Connect.
The document appears in the list of business documents.
Deleting Business Documents
You can delete:
a business document
a business document version
*Note that a business document must have at least one version to function, and that a version cannot exist independently of a business document.
To delete a business document:
1. Right-click the business document and select Delete.
A window appears listing the document versions you are authorized to delete.
2. Select the business documents and/or business document versions you want to delete and click Delete.
The business documents disappear from the object lists to which they were connected.
